Administrative assistant

We're looking for a bilingual (French/English) Administrative Assistant to support our customers in Quebec with their day-to-day administrative tasks. As a key member of our new resource outsourcing service, you will play a vital role in ensuring the efficiency of administrative operations and providing professional, courteous service from a distance.

Responsibilities

  • Communications management, including answering e-mails and telephone calls, in French and English.
  • Coordination of appointments, meetings and diaries.
  • Preparation and layout of documents, reports and presentations.
  • Administrative follow-up of customer files and database updates.
  • Billing support, expense management and financial document processing.
  • Assistance with customer-specific projects as required.
  • Write, develop or update certain documents, tables, reports with Word, Excel, Access and Powerpoint software
  • Data entry ;
  • Management of the department's e-mail box;
  • Assist the production team with certain clerical tasks;
  • Update information and some departmental processes;
  • Maintain and classify files (bids, orders, invoices, etc.);
  • Take and return calls to external and internal customers;
  • Assist the accounting department administratively;

Qualifications

  • Fluency in spoken and written French and English.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and manage time effectively.
  • Proficiency in office automation tools (Microsoft Office Suite, Google Workspace).
  • Previous experience in an administrative role (an asset).
  • Good understanding of Quebec corporate culture (preferred).
  • Have experience in a similar role;
  • Good knowledge of Word, Excel, Outlook and Powerpoint;
  • Can meet deadlines and priorities;
  • Resourcefulness and autonomy;
  • Thoroughness and meticulousness;

Training

  • Diploma in secretarial or office automation studies;
